Important Booking Information

  • Please ensure that you follow all steps of the booking process and receive a confirmation e-mail for your booking to be complete.
  • Tickets can be saved to your Google/Apple wallet, or you can open/save the PDF ticket attached to your confirmation e-mail to show at the venue on your mobile device.
  • Alternatively, you will need to print your ticket.
  • On arrival at the venue, present your printed or saved ticket, ensuring that the seating information and barcode are visible.
  • Tickets for Leys pupils and staff are usually free for internal events (see T&C for restrictions). Please use the school postcode (CB2 7AD) and your Leys e-mail address when making a booking. Parents/guardians may book a free ticket on behalf of a pupil so that you can sit together.
  • Read the event information and check your basket carefully before completing the booking. In some cases tickets are non-refundable and/or subject to other restrictions.
  • If you are unable to attend, please make every effort to cancel or exchange your ticket. Tickets can be cancelled up to 24 hours before the day of performance.
  • Tickets can be cancelled or exchanged, when permitted, via the self-service ‘Manage My Bookings’ portal.
  • By using this Box Office system, you agree to our Terms and Conditions (see below).

If you have any other queries, use the “Contact an event organiser” form at this link. Alternatively, you can contact the Theatre Manager directly by e-mail.

Please do not e-mail or call with new ticket requests, as we are unable to process bookings by telephone or e-mail. All ticket sales and payments are handled by TicketSource on behalf of The Leys.

Unfortunately, we are also unable to provide part-refunds or ticket exchanges where the new ticket price differs from the original amount paid.

Cancellations and exchanges are subject to our Terms and Conditions (see tab below).

Visitor Information

Great Hall

Our main venue is located within The Leys campus in Cambridge (CB2 7AD), a short walk from any of our entrances. There is very limited car parking available on site. We advise patrons to use public transport, cycle, or find alternative parking arrangements off site. Traffic in Cambridge can be busy at all times of the day, so please allow sufficient time to reach the venue.

For school events, we don’t usually make any special parking arrangements for parents and visitors. Please follow the car parking instructions below.

Pedestrian access is best from our Trumpington Road main gate. Follow the signposts to Great Hall within the campus.

The Leys School is a non-smoking site, including outside areas.

 

Cycle Parking

Cyclists are welcome to secure bikes at the covered racks near to the Trumpington Road entrance, or anywhere that does not block a pathway near to Great Hall (cycles are left at the owner’s risk).

 

Car Parking

If you do bring your car to the site, vehicle access is only via the Fen Causeway gate (unless instructions are given to the contrary). We kindly ask patrons to park considerately by not blocking any roadways or paths, nor to park in reserved bays for staff and residents. Gates will be locked shortly after the end of the event. Vehicles are left at the owner’s risk.

Some on-street parking is available south of the school on Trumpington Road and other surrounding streets (please check restrictions). Our nearest public car parks are Queen Anne Terrace and Grand Arcade (allow 15-20 min walk).

There is also a nearby car park at Lammas Land, which is a short walk across Coe Fen, but this car park closes at dusk, so will not be suitable for most evening events.

Please note that the Cambridge Park & Ride service finishes at 8pm.

Accessibility

Wheelchairs & Carers

Wheelchair spaces are available in the Stalls or Circle of Great Hall, and can be booked in the normal way when available. For other venues, or unreserved events, please contact the Box Office or the event organiser in advance.

If you require a carer seat, or have any other accessibility needs, please let us know.

In some cases for busy events, wheelchair spaces will be released for general sale as seats when there are no other seats available.

Great Hall is fully accessible for all users. Facilities in other venues may vary.

 

Reserved Parking

Disabled or infirm patrons may reserve a parking bay for a performance. These are located adjacent to Great Hall and must be booked in advance, subject to availability. Please complete the form on the tab below.

The nearest unreserved disabled parking bay is located in the visitors’ parking area off Fen Causeway, which is approximately 250m from Great Hall.

 

Induction Loop

Unfortunately, the induction loop for hard-of-hearing patrons in Great Hall is currently faulty and may not be working. Please let us know if you would like to use this facility.

 

Request for Reserved Parking

Disabled or infirm patrons may reserve a parking bay for a performance. These are located adjacent to Great Hall and must be booked in advance, subject to availability.

Please only use this form if you have a genuine mobility need, as availability is limited. Priority will be given to Blue Badge holders.

We require at least 72 hours notice for a request. Later requests may not be received in time.

We will contact you approximately one week before the event to confirm your reservation and give arrival instructions.

Your personal details will not be retained and we will only contact you with regard to this request.

This does NOT include a ticket for the event. You are responsible for booking tickets from the Box Office. Parking is only available to ticket holders.

Box Office Terms and Conditions

Data Processing

You are required to provide personal information when you book tickets. This information is handled by our Box Office provider, TicketSource, in accordance with their privacy and data processing policy, which can be read during the booking process.

The Leys has access to your personal information (but not any financial details), which is used for identifying bookings and to contact you if required in relation to your booking. At the present time, The Leys does not use the Box Office for marketing purposes and you will not receive any marketing information from the Box Office, except for communications directly related to your booking. Your details are retained for up to 24 months. You may ask for your details to be removed from our database at any time.

On occasion, for events outside of Great Hall or non-Leys events, the information for those who have booked for the particular event will be shared with other school staff or the event organiser.

Privacy Notice

 

Pupil Tickets

Current pupils at The Leys are entitled to ONE free ticket per event (for internal events only), which must only be used by the pupil concerned. Parents/guardians may book a ticket on behalf of a pupil in order to reserve seats together (maximum of 2 pupil tickets per booking).

For the avoidance of doubt, pupil tickets are only valid when accompanied by a School ID/access card per individual ticket. Use of pupil tickets will be checked at the venue.

A pupil making a booking on behalf of another pupil is responsible for the use of all tickets booked under their name. Unused tickets may be reported to HsMs, who will take appropriate sanctions if effort has not been made to cancel or exchange unwanted tickets as this may prevent others from attending.

Pupils should only use the e-ticket option to avoid incurring charges.

 

Staff Tickets

Staff members at The Leys may book free tickets (for internal events only), up to the maximum allocated per event.

For the avoidance of doubt, staff tickets are only valid when accompanied by at least one Staff ID/access card per group, unless otherwise arranged with the Theatre Manager.

Staff should only use the e-ticket option to avoid incurring charges.

 

Payments

Tickets can be purchased using most credit/debit cards. All purchases are subject to the Terms and Conditions of our Box Office provider, TicketSource. Any payment queries should be directed to TicketSource.

 

Telephone Booking Service

Use of the TicketSource telephone service is free (no additional booking fees). TicketSource are acting as booking agents for The Leys. Cancellations, exchanges or other general enquiries are not possible using the telephone service. Tickets sent by post will incur an additional £2.50 postage fee (only available via the telephone service).

 

Lost / Incorrect Tickets

If a valid ticket (either e-ticket or printed) or proof of purchase (e.g. confirmation e-mail) cannot be provided at the venue, it may not be possible to admit you to the event, nor will you be entitled to any refund.

It is your responsibility to ensure that you have booked for the correct date/time event. Please check all details carefully during the booking process and check the confirmation e-mail after booking.

If you have lost your ticket or confirmation e-mail, or believe your ticket to be incorrect/invalid, please use the appropriate contact form at TicketSource or contact the Box Office by e-mail for clarification.

 

Duplicate Tickets

Tickets can only be used once. If multiple copies of the same ticket are presented at the venue, for whatever reason, the ticket is void and it may not be possible to admit you to the event, nor will you be entitled to any refund.

If tickets are issued which allow more than one person to be admitted, the ticket holder must ensure that all persons in the group shall enter the venue at the same time.

 

Cancellations / Refunds / Exchanges

Tickets may be cancelled or exchanged using the “Manage My Bookings” portal at TicketSource at least 24-hours before the day of the event. Please check the event description for any specific restrictions. Refunds are subject to a deduction of no more than 10% of the total value to cover the booking fee imposed by our supplier. Any fees for additional services (e.g. postal tickets) cannot be refunded.

Unfortunately, it is not possible to exchange tickets where the new ticket price differs from the original amount paid. In this situation, you will need to re-book then request a cancellation of your original tickets (as stated above).

Refunds will not be given for any unused, incorrect or returned tickets within 24-hours of the event or at the venue.

Pupil and staff tickets may be exchanged internally with another pupil or member of staff, but the new ticket holder must be in possession of the appropriate valid ticket (e-ticket or printed confirmation). Verbal instructions will not be accepted.

Alternative arrangements may apply to non-Leys events. Please check with the event promoter.

We will endeavour to contact you in the unlikely situation that we need to change or cancel an event, but we reserve the right to make changes or cancel the advertised programme at any time without notice.

 

Refund Protection & Additional Services

TicketSource offer additional cancellation insurance for your booking. This is outside of our control and not part of The Leys School. If you need to make a claim, you will need to contact XCover in accordance with their instructions. Please read the details carefully to ensure that it meets your needs before accepting.

Any additional services purchased or booked via TicketSource are not part of The Leys School and not under our control.

 

Latecomers / Right to Refuse Admission

We reserve the right to refuse admission to any person at any time. Latecomers may not be admitted until a suitable break in the performance.

 

Cameras & Recording Equipment

All cameras and recording equipment, including mobile telephones, are prohibited from use during most performances. Your attendance at the event is consent to appear in any official photography or filming for that event.

 

Non-Leys Events

An ‘external event’ is any event taking place at The Leys but not organised or managed by The Leys, such as a theatre company or promoter hiring Great Hall for their performance.

Great Hall is our Performing Arts Centre, completed in September 2013 and officially opened by HRH the Earl of Wessex in January 2014.
